Virtual Assistant Manager is easy-to-use, yet flexible. So, whether you are an individual virtual or personal assistant, or if you have multiple virtual assistants working for you, the system can accomodate your needs. Here is an overview of
how the system works.
- If you use teams, you can set up as many teams as you like.
- You set up yourself and other personal assistants, if applicable. You can assign assistants to teams. They
can be on more than one team.
- You set up your clients in the personal assistant software system
and assign them a login and password.
- When a client needs a task done, they log into the virtual
assistant software and create a task request. A text message and/or email
is immediately sent to either their assigned assistant or the work
request coordinator (for virtual assistant companies with multiple
assistants). If it is sent to the coordinator, the coordinator then
assigns an assistant to the task if an assistant is not yet
assigned. The assistant is immediately notified by text and/or
email.
- The personal assistant then logs into the system, reviews and
begins the task. When they log in, they can only see the tasks assigned to them.
- When the assistant has questions, wants to give a status update,
or is done, they send the client a message via the virtual assistant
software system. The system saves that message and makes it easy to
see all of the messages sent for the task.
- When the client gets the message (via text or email), they then
log into the personal assistant software system to respond to the
message.
The system has many other useful features for virtual assistants, including an area to log your time spent on each task.
